Who is collecting your private information?

Chess World (Australia) Pty Ltd (trading as Chess Kids, Chess World, Mind Sports or National Interschool Chess Championships) is the company collecting your private information. Our ABN is 41 118 087 862 and you can contact us by phone on 1300 424 377 or email info@chessworld.com.au.

How can I access my private information?

You may contact us during working hours (9am-5pm) to request access to private information we hold about you.

Why are you collecting private information?

Chess Kids collects and uses Personal Information about you primarily to supply you with the products and services you order from it and its related companies (Chess Group Companies). Chess Kids also collects and uses Personal Information for related (or secondary) purposes including:

  1. billing and account management;
  2. business planning and product development; and
  3. to provide you with information about promotions, as well as the products and services of Chess Group companies and other related organisations.

What are the consequences of not providing the information requested?

It is a condition of entry that you provide information requested and consent to our partial disclosure as detailed in this document. If you wish to participate in this event, but have concerns about the collection or use of your private information please contact us on 1300 424 377 – wherever practical we will try to address those concerns to enable your participation in our events.

Who will we disclose this information to?

Chess Kids may disclose Personal Information about you (for the purposes set out in this document) to:

  1. any of the Chess Group companies;
  2. Chess Kids’ agents, dealers, contractors and franchisees;
  3. Chess Kids’ suppliers who need access to the Personal Information to provide Chess Kids with services, enabling Chess Group companies to supply you with the products and services you have ordered; and
  4. joint venture partners of the Chess Group companies or any of them.

Player lists and results of this event, including your name, the school you attend and possibly a year of birth, will be released to the public domain via print chess publications and/or one of our websites.

We (or a 3rd party) may capture photographic or video images of you at the event you participate in. You agree that all rights to these images, sounds or text are the sole property of Chess World (Australia) and you make no claim over them. These images, photos or text (perhaps with name identification) may be published on our website, in news media (newspaper, TV etc), sold to a 3rd party or published in print chess publications.

By entering this event you consent to our disclosing your private information in this way.

When and how can you opt out?

If you wish only to receive communications that are account-related or legally required, you may request not to receive other communications (ie you may “opt out”). If you wish to make a request to opt-out, you can do so at any time by letting Chess Kids know of your request by contacting the Chess Kids customer service line on 1300 424 377. If you provide Chess Kids with an opt-out request, Chess Kids will activate your request as soon as reasonably possible after receiving it. Chess Kids will not charge you for processing a request to opt-out.

This Privacy Statement may change from time to time particularly as new regulations are introduced. Any changes to Chess Kids’ Privacy Statement will be highlighted in this area from time to time.

What Personal Information does Chess Kids collect?

The types of personal information that Chess Kids records will depend on your usage of our site. If you carry out a transaction online or send us an email, Chess Kids will record information that may differ from the information Chess Kids collects if you simply visit our site.

i) Purchasing products or services.

If you purchase products or services or apply to become a Chess Kids customer, Chess Kids requires you to provide certain details so that we can establish an account and provide you with the product or service. This includes details such as your name and contact information, or in the case of businesses, information about the company, department or association making the purchase or setting up the account. Chess Kids requires this information to help us process and manage your account.

If you purchase a product or service Chess Kids also requires your credit card details in order to process the purchase. Chess Kids may also request information about you in order to help you decide which product or service would best suit your needs.

ii) Paying your account online or making other enquiries about your account.

If you pay your account online, Chess Kids requires you to provide your account details and credit card details in order to process the payment. If you make an online query about your account you will be required to provide your account details, password and contact details so that your inquiry can be resolved as soon as possible.

iii) General requests.

You can use the online forms for a number of other purposes such as to request further information about other Chess Kids products and services. In order to process your request, we will require you to provide us with certain personal information. This includes such details as your name and contact information and information about any existing account. If you send us an email request, we will ask for similar information. We require this information to process your request and to improve the services we provide to you.

When you are carrying out a transaction or simply making a query, Chess Kids may also ask for information such as details about yourself or your company in order that Chess Kids can better tailor its services to your needs and to provide you with information about a range of Chess Kids services you might be interested in.

Chess Kids may also conduct voluntary surveys or request other voluntary information from time to time. These surveys provide Chess Kids with important information that enables improvement in the types and quality of services offered and the manner in which those services are offered. It will always be clear whether the information requested is mandatory or voluntary.

iv) Navigation Information

Each time you visit Chess Kids’ web site, anonymous navigation information is collected by our servers. This information includes:

  • the address of the referring site (i.e. the previous site you had visited) and the website you leave our site to visit;
  • the date and time of your visit;
  • your server’s IP address (a number which is unique to the machine); and
  • the address of the pages you accessed.

This provides Chess Kids with information about how the web site is used and navigated, including the number of hits, the frequency of visits and the duration of visits to each web page on the site. It does not personally identify individual users.

In addition, Chess Kids’ web site, like many others, uses cookies. A cookie is a piece of information that the website sends to your browser and which is stored on your hard disk.
